About the role
- Toast is seeking a Principal TA Systems Architect to serve as the technical owner of the talent acquisition tech stack, including Greenhouse, GoodTime, and BrightHire.
- This individual contributor role involves configuring, integrating, securing, and measuring the TA systems while partnering closely with TA Operations, People Systems, IT, Security, Legal, and Procurement.
- The position offers a clear path to building and leading a small team as the function scales.
Responsibilities
- Serve as system owner and top-tier administrator for Greenhouse, GoodTime, and BrightHire, handling configuration, permissions, workflows, approval chains, compliance settings, and release management.
- Own the integration layer between TA systems and the rest of the People stack, including HRIS, background check, assessments, sourcing, and offer tooling using API-based integrations and middleware.
- Run intake-to-resolution on system issues by triaging, finding root causes, fixing problems, and closing the loop with reporters.
- Hold the change management discipline the stack needs, including sandbox testing, documented configuration decisions, release notes, and user communications.
- Partner with recruiters, sourcers, coordinators, and TA leadership to translate process bottlenecks into system solutions.
- Collaborate with People Systems, People Analytics, IT, Security, and Legal to ensure clean data flows, secure access models, and defensible privacy and records practices.
- Build and own a multi-quarter TA systems roadmap and evaluate new tooling, including AI-enabled recruiting tools.
- Manage day-to-day vendor relationships, act as an escalation point for outages and defects, and run renewals and new purchases alongside Procurement and Finance.
- Write scripts, queries, and automations for data cleanup, bulk updates, custom reporting, and integration failure alerts.
- Build and maintain TA reporting and dashboards to ensure recruiting data accuracy.
Requirements
- 5+ years in HR or TA systems, People Systems, or a closely adjacent systems role, including hands-on ownership of an ATS at scale.
- Proven experience with gathering business requirements, translating into technical solutions, and bringing solutions to life through project management, UAT, release management, and production support.
- Deep, current administrative expertise in at least one core recruiting platform, and a demonstrated ability to learn new ones quickly.
- Technical fluency with REST APIs, webhooks, and JSON, as well as experience with iPaaS or middleware tooling such as Workato, Tray, Merge, or Zapier.
- Experience integrating an ATS with an HRIS like Workday or UKG, with an understanding of downstream recruiting data.
- Proven vendor management experience encompassing renewals, escalations, and holding partners to commitments.
- Excellent partnership skills with non-technical stakeholders to identify system problems beneath user complaints.
- Practical knowledge of the compliance environment around recruiting data, including EEOC, OFCCP, GDPR, CCPA, data retention, and interview recording consent.
Preferred qualifications
- Direct administrative experience with GoodTime and BrightHire.
- Experience standing up, migrating, or consolidating an ATS.
- Prior people management, or experience mentoring and leading a systems function.
- Experience evaluating and deploying AI tooling inside a live recruiting workflow.
- Familiarity with high-volume and field-based hiring models.
