About the role
- The Billing Operations Associate manages the end-to-end billing lifecycle for Instacart's retail partner portfolio.
- The role focuses on ensuring accurate invoicing, timely month-end close, and adherence to financial controls.
Responsibilities
- Execute monthly billing cycles accurately and on time.
- Generate and deliver invoices via email and third-party portals such as Ariba.
- Process credit memos, debit memos, and refunds based on approved requests.
- Build and maintain Oracle workbooks for new and amended contracts.
- Review commercial contracts to identify and validate billing requirements.
- Perform peer reviews of invoice calculations to ensure contract compliance.
- Respond to billing inquiries and escalate complex disputes.
- Support audit requests and complete ad hoc projects.
- Follow established SOPs and internal controls.
Requirements
- 2+ years of experience in billing operations, accounts receivable, order-to-cash, or a similar role.
- Foundational understanding of invoicing processes, ERP workflows, and AR fundamentals.
- Strong attention to detail with the ability to manage high-volume workloads.
- Expert proficiency with Google Sheets and Microsoft Excel.
- Familiarity with Oracle or similar ERP systems.
- Familiarity with Salesforce or similar CRM.
- Clear and professional communication skills.
- Ability to work cross-functionally.
- Ability to follow defined processes and controls while knowing when to escalate.
Preferred qualifications
- Experience with BI or data tools such as Alteryx or SQL.
- Experience or aptitude to leverage AI tooling to augment or automate processes.
- Familiarity with marketplace, subscription, or advertising billing models.
- Exposure to working with Finance, Legal, or Sales teams in a cross-functional capacity.
